How this list works

  • Entries come from each vendor's own website, checked on the date shown. Figures marked “vendor figure” are the vendor's own claims.
  • Within each category the order is alphabetical. There is no ranking.
  • Ownership has consolidated: Datasite owns Ansarada (since August 2024) as well as Grata and Sourcescrub; SecureDocs is now part of Onit.
  • Vedekon has no commercial relationship with any vendor or organiser listed, and no link here is an affiliate link.

What to look for

For a seller, the data room is where the business is presented and the process controlled. For a buyer, it is where diligence happens, and its structure decides how quickly the team finds what matters.

  • Permissions and audit trail: who saw which document, when, and whether they could download or print it.
  • Q&A workflow: questions routed to the right expert on the sell side, with answers that become part of the record.
  • Redaction and clean teams: the ability to hide competitively sensitive information from some bidders.
  • Search and AI features: full-text search across scanned documents, translation and summaries. Check what happens to documents processed by AI features, and where.
  • Pricing: per page, per project, per month or flat fee. A large process priced by page can cost far more than expected.
  • Security assurances: ask for the provider's current independent audit reports rather than relying on badges on the website.

For what buyers should ask for in the data room's technology section, see our article on hidden technical debt and the deal lifecycle guide.
